1. Generic Corporate AI Note Takers (e.g. Otter.ai, Fireflies.ai)
Generic AI note takers are designed primarily for sales discovery calls, team syncs, and executive interviews. They transcribe speech reasonably well and provide high-level summaries.
Where they excel: Fast transcription of clear conversational English; easy integration with calendar invites; affordable entry-level pricing for individual users.
Where they struggle in construction: They lack understanding of construction conventions. A comment like "the dry-in milestone slips if the glass sub doesn't submit package 082 by Friday" is often summarized as "the team talked about weather and glass." Crucially, they have zero concept of an RFI, cannot link topics across weeks, and cannot export formal CSI-numbered minutes.
2. Video Platform Copilots (Microsoft Teams Copilot, Zoom AI Companion)
Both Microsoft and Zoom have integrated capable generative AI models into their video conferencing platforms.
Where they excel: Built directly into the meetings you already host; zero additional bots to invite to calls; good general conversational Q&A during or immediately after the meeting.
Where they struggle in construction: They are locked inside their respective platforms. If half your coordination meetings happen in person in a jobsite trailer, the platform tool is useless. Furthermore, they do not integrate with Procore, cannot structure construction records, and maintain no continuous issue reconciliation across a 52-week project schedule.
3. MinuteMate Construction Project Intelligence
MinuteMate was built specifically for commercial general contractors, construction managers, and specialty trade subcontractors.
Rather than stopping at transcription and conversational summaries, MinuteMate serves as AI Project Intelligence for Construction. It captures discussions from Teams, Zoom, Google Meet, or in-person jobsite sessions, extracts domain-specific entities (RFIs, submittals, change directives, decisions, trade commitments), and reconciles recurring items over time through Project Memory.
MinuteMate then bridges the gap to your systems of record, generating formal numbered meeting minutes and syncing approved topics directly into Procore.
